Event Times for the Party (for sample purpose only)
8am – “Early Riser Volunteers” show up to start setting up:
because Guests (neighbors) will start arriving at 9am
“Encourage neighbors to return their own chairs if needed.”
By 8:30am, the Welcome table is set up.
  • Distribute coffee, water & breakfast tacos for early riser volunteers.
  • Prepare signup sheets for volunteer assignments.
  • Reserve parking sign” posted in driveways for transportation volunteer drivers
  • Decorations are up where needed.
  • Visible Calendar – “post Event times on flyers at the Welcome table”
  • Prepare guest sign in sheets
  • Prepare guest name tags
  • Set up electricity (extension cords)
  • Set up mics & speakers
  • Setup Photo Booth & Frames
  • Set up Cornhole game for early beanbag toss practice
  • Set up Tables & Chairs
  • Set up table cloths, & Plastic Forks, Spoons & paper plates & cups
  • Handout Mingo Bingo cards to encourage neighbors to talk to each other.
  • Handout Scavenger Hunt cards so guests can search for clues.
  • Have candy jar visible & a box to store guest “guesses.”
  • Sell Raffle ticket for $1 each ticket
  • Signup sheet for guests sign up for contests.
  • By 9am – Transportation volunteers – in parked cars – on call for pickups
  • Bring trash cans & trash bags
8:30am to 9am – serve Coffee, Breakfast tacos & donuts to “Early Risers
9am – Guests (neighbors start arriving to welcome table)
9:am to 9:45am  Practice tossing bean bags (Cornhole game).
10:am –  Whomever (DJ) has microphone turns on music, announcing Guests arriving,
and Cornhole play-by-play.
First contest:
10am to 10:45am – Cornhole game contest for 30 minutes.
11am: hand out eggs for team toss contest
11:30am – start “Egg Toss contest” 30 minutes or until a winner
11:30am – start receiving Food & neighbor’s side dishes & drinks
11:30am to NOON – put Food on tables & Drinks on ice
12:30 – 2pm – TIME FOR LUNCH
9am to 2pm – Play “Mingo Bingo” before & during lunch
2:pm – Collect completed Mingo Bingo cards
2:30pmBingo for Silver Dollars
3:pm – Guests start recovering their food containers
2:30pmLemon on a spoon contest.
3:30pmStorytelling Contest
4pmStart Raffle – raffle off all prizes – * 10 minute call to winners
4pmClosing ceremony – “medals” awarded to winners
                                                – “candy jar winner announced
5pmEnd of event: Clean up, return tables & chairs to owners
